Making contacts for locating the right venue where the event to be organized. Recommendation of a suitable location, equipment, additional services, and comparison to other offers. Appropriate design of the location/room, that provides the atmosphere needed. Registration of the participants, guests, lecturers, media. Organization of explanatory meetings. The following dispositions have proved its effectiveness in many different events. In each of them the lecturer has the central position. Attention of the participants is drawn by using multimedia screens, overhead projectors, white boards and flipcharts. 1. ‘Amphitheatre’ disposition The participants are seating in a semicircle around the lecturer, the seats are different in height. This is suitable for presentations that are followed by a question-answer type discussion. Recommended for short presentations. 2. “Theatre” disposition The participants are seating in rows in front of the lecturer. The screen, on which images are being displayed, has to be clearly visible by everyone. Recommended for big groups of participants. 3. ‘Classroom’ disposition Every participant has a clear visibility towards the others, while the disposition of the desks gives enough space for work. Recommended for long lectures or meetings with big groups of participants. 4. ‘Office’ disposition The lecturer is standing right next to the desk and images are being displayed on a screen behind his back. Recommended for groups with no more than 10 participants. 5. ‘Conference’ disposition 1. One table in the center of the room. It is suitable for discussions between 5-15 participants. 2. “n”-patterned disposition of the table. Recommended disposition, when long discussions are envisaged. If the room is too small, people would feel uncomfortable. In case it is too big, there will be a dispersion, the team spirit would be lost.
